Privacy Policies & Protections

Promena’s indexes and de-risking benchmarks are built on trust. This section explains how we protect submitted information, limit access to authorized use only, and report findings in aggregate so participating organizations are never identifiable without permission.

Promena Indexes Privacy Policy

Promena (A P&L Group Brand) is committed to de-risking benchmarking by protecting participant confidentiality, limiting data exposure, and ensuring organizations control how—if at all—their participation is shared. This policy outlines how we administer the Inclusive Leadership Index and related benchmarks in a secure, privacy-first manner.

1) Confidential Participation

· No public disclosure by default. We do not publicly display, announce, or publish the names of participating organizations or recognized organizations on our website, social media, marketing materials, or at events unless the organization explicitly opts in to recognition.

2) Confidential Results and Reports

· Private results delivery. Each participating organization receives a confidential listing and a complimentary Inclusion Index benchmarking report.

· Aggregate-only insights. Research findings and comparative insights are reported in aggregate and de-identified formats to protect organizational confidentiality.

3) Optional Recognition

· Recognition is opt-in. Organizations may choose to be recognized for outcomes or distinctions.

· Support materials provided. If an organization opts in, we provide an official badge and press materials to help communicate the achievement.

4) Enhanced Benchmarking Options

· Deep dive reporting available. Paid benchmarking reports are available across Promena lists and indexes and may include industry comparisons and category-level analysis to help organizations interpret results and prioritize action.

5) Private Celebrations and Convenings

· Invitation-only events. When Promena hosts recognition gatherings (such as a “Best Places to Work” reception), they are conducted as private events designed to celebrate participating organizations’ commitment to inclusive excellence.

6) Participation Window and Administration

· Promena may extend submission deadlines to support participation and data quality. When deadlines are extended (e.g., through June 30), this will be communicated to registered participants.

De-Risking Benchmarking Policy

Promena conducts annual surveys to gather, analyze, and benchmark self-reported organizational data across its index initiatives, including the Inclusive Leadership Index (ILI) and the Industry Inclusion Index (I³). This information is collected to produce research insights, category-level critical success factors, and benchmarked outcomes that help participating organizations understand progress and opportunities for improvement.

Confidentiality and Use of Data

All information submitted through Promena’s survey applications is treated as confidential and is used solely for the purposes of:

  • generating index benchmarks and research insights,
  • producing aggregated, de-identified reporting (including industry-level findings), and
  • providing participants with their organization’s confidential results and a benchmark report.

Promena does not sell, license, distribute, or provide third-party access to organization-level survey responses. Individual company data is never shared externally and is not reported in a way that identifies a participating organization without explicit permission.

Reporting in Aggregate Only

Promena reports survey findings in aggregate form only, meaning results are combined across multiple organizations so that no single company’s data can be identified. Industry-level analysis within the Industry Inclusion Index (I³) is also presented in aggregate.

Access Controls and Data Protection

Promena uses secure, access-controlled systems to collect and store survey submissions. Access to submitted data is limited to authorized personnel who require it to administer the survey process, validate submissions, and produce reporting. Promena maintains administrative, technical, and operational safeguards designed to protect data against unauthorized access, disclosure, alteration, or misuse.

Recognition and Public Disclosure

Organizations that are recognized through Promena outcomes (including “Out Front” recognition or index distinctions, where applicable) may choose to publicly announce their achievement. Promena does not publicly disclose the names of organizations that participate but are not recognized, and participation itself remains confidential unless a company elects to share it.

Data Retention and Deletion

Promena retains organization-level survey data for no longer than 12 months following the close of the survey cycle, after which it is systematically deleted in accordance with Promina’s retention practices, unless a longer retention period is required for legitimate business, audit, or legal purposes.
